What may surprise you is that most of the email spam you receive is governed by the CAN-SPAM Act of 2003. The law is rarely enforced, it prohibits the buying and selling of bulk email addresses (although this still goes on every day), and one clause actually helps spammers verify your email address. The CAN-SPAM Act states that marketing emails must include an opt-out link where you can go to request to be removed from the company’s emailing list. But clicking on this unsubscribe link simply confirms that your email address is active and almost guarantees that your email address will be included in the next email address list the company sells.

While spam is certainly a nuisance, there is precious little you can do about it. When you get spam, most email providers have a button you can click to mark the email as spam, and then it will be delivered to your bulk or spam folder instead of your inbox. Some email providers allow you to block unwanted emails altogether so that you don’t even have to deal with them in the spam folder. The third option is, of course, to simply delete the unwanted email and chalk it up as one of those annoyances that comes with advancing technology- a matter of taking the bad along with the good.

Is your junk mail folder turning into your inbox?

Remember the days when your inbox seemed like a constant influx of spam and other sorts of junk mail? Every day your inbox filled up with the most useless messages ranging from “Congratulations!!! You’ve just won $1,000,000″ to “Want to enhance your….” It got to the point where your inbox was a spam folder and that the junk was increasing exponentially every day.

The solution to this issue was of course to make a spam or “junk” folder that would save us all the trouble of sorting through 300+ messages every day to dig out what was actually useful. However, are people so determined to prevent spam that they are deleting useful messages as well?

When someone opens a new email account, one of the first preferences they set is how strong their spam filter is. In Outlook, people have the option to set the filter anywhere from no filtering at all to completely deleting potential spam files before they even reach the junk box. Since spam emails have been increasing at such a rapid rate, people are cranking up the filter so they have zero chance of even seeing the headers of spam emails in their inbox. The problem with this is that legitimate emails with questionable subjects are immediately deleted or get thrown in with the spam to be forgotten about.

Recently, while glancing through my junk folder and I noticed an email from my boss that was addressed only to me. This would not be such a shock if my spam filter was turned way up, however it was set to “filter the most obvious junk emails”.

If general emails from my boss are considered obvious junk emails, does that mean that heavy spam filters consider everything spam? It seems that time has reversed itself, such that instead of our spam filling our inboxes, our useful messages are filling our spam boxes. This now makes our junk folders our new inboxes.

The junk mail folder was designed to make life easier for consumers, but for businesses, turning junk mail or spam filters up too high can be very costly. The Cobb School District in Atlanta was looking for a new phone service for the district and was listening to offers from multiple phone companies. Because their spam filter was turned up so high, they never received the email from the cheapest company, in turn costing them $250,000. They suspect that the email was thrown into the spam folder because of the phrase “long distance” in the title, which can be associated with pornographic material (1).

With the degree of filtering these days there is simply no way to guarantee that a message will reach someone’s inbox instead of their spam box. There isn’t much we can do about spam sent to us. We can improve the chances of an email reaching our recipient’s inbox by sending it in a more secure fashion.

If it were possible to guarantee our email’s delivery, then every day 300+ spam messages would avoid our spam boxes and appear in our inboxes. Since this idea is not yet completely plausible, we have to focus on other tactics like email encryption.

The main purpose of email encryption is to protect a message from point A to point B without interference, but it also gives it a better chance of ending up in the inbox folder because the recipient presumably has the same encryption program. If each has the same encryption program the message is in a recognizable format that the inbox will identify over a generic email that could be spam.

Another level to help ensure that your recipient gets his or her email is to use authentication tools. Authentication is the process of verifying someone’s digital identity.

Today, people are so afraid of recognizing, especially opening a potential spam message that they would rather overprotect themselves at the expense of losing their own mail than allow a single spam message to reach their inbox. One day we will be able to open our inboxes without worrying about spam, but for now we need to do the best we can to receive the files we want while getting rid of the ones we don’t.

While your email is safe with me, there are those out there with less than honorable intentions. Be very careful when you click reply. If you don’t, you could accidentally opt-in to a spam list… or worse.

Whether you have the most state-of-the-moment virus scanner or not, the more email you read the more at risk you are. Recently, a very nasty virus was transmitted via a hyperlink in an email. Containing a Yahoo domain name, the link looked harmless. When you clicked the link, the virus ran. Not harmless at all.

How can you protect yourself? Here are three quick tips.

1. NEVER open an attachment without knowing that the person really sent it. Knowing the person is no longer good enough, since most viruses spread through a user’s address book. If you receive an email with an attachment from Aunt Emily, call her to make sure SHE actually sent it.

2. Look for a disconnect between the sender and the email. Would Aunt Emily REALLY send you an email telling you that ‘you are fat’? If the subject line, or the writing, look odd to you, confirm it with the sender.

3. Don’t use a ‘preview window’. A preview window is that cool window at the bottom where you read the email while the list of emails is at the top. Nice feature. Problem is that for some programs a preview window acts as an attachment opener! This will be hard to find in the documentation, but user groups for your email program can advise you.

Understanding this concept is key to using email wisely. There is NO privacy with email. The best analogy I’ve heard is that sending an email is like mailing a post card. Every one who touches the post card can read it if they like. Just so, every server that your email gets routed through, and there are almost always six or more in the equation, can read (or store) your email if they so desire. Is it legal? No. Is it moral? No. Can it happen? Yes.

Email is like driving a car. In the right hands driving a car is a safe and enjoyable experience, given that a few basic rules are followed. In the wrong hands, driving a car can be a nightmare.

While you should never be afraid to send or receive email, understanding the basics and using common sense will make your online experience the pleasure it is supposed to be.

The UK has the highest online per capita spending in the world. All the more remarkable for a nation of shopkeepers when retail outlets are just around the corner. The UK online advertising market is second only to the US. Now do you see how important your email lists are?

In many ways it is wrong to think of the internet as a separate industry as it has penetrated every form of business. Even the greenest blacksmith has a website. At least those who are not struggling financially have. Email marketing has what is fast becoming an essential role in sales and services. Even so, the internet as a whole is the fifth largest industry in the UK, remarkably just behind financial services. Bigger than lots of double decker busses.

But for those engaged in email marketing one range of figures was particularly interesting. About 62% of adults in the UK, that is 31m, have so far this year bought products online. The report states that the internet, and therefore email marketing, is set to grow in the short term and that by 2015 could account of between 10 and 13 per cent of GDP. This is generated by broadband penetration, the government’s target of making it available to everyone by 2015 being more or less achievable.

Billions, millions, percentages and lots of zeros are all very well, and very comforting. But rather than comparing the industry to all sorts of objects the essence of the report, the first of its kind, is that the opportunities are out there and will increase substantially over the next few years. Investment now in email lists and infrastructure will be repaid.
